I. By The
Numbers
1. What is By The Numbers? By The Numbers is a lead, sales and
marketing management software designed for small business by small business. Think
of it as a CRM on steroids. It is different from other business software in
that it includes a robust analytics system which is immediately available to
you without additional programming required.
For example: Think of last Sunday’s newspaper ad that you
paid $10,000 to print.
You will know
EXACTLY how many leads, how many jobs, and how many dollars that ad got you.
You will know
EXACTLY the percentage of marketing costs to gross sales on that ad.
You will know
EXACTLY which salespeople are performing and which are not, BY THE NUMBERS, not
by gut
feeling.
How about that budget for marketing? Once you have somewhat
of a history, you can know (not think) before putting out that marketing money
how many leads it will generate. Would that make marketing easier for you?

2. Why was By The
Numbers created? By The Numbers was
created out of sheer frustration of not being able to find a software system
that was ready upon installation and could accurately tell business owners
exactly which marketing was working as well as which salespeople were
effective. In order to get the numbers
necessary to run the business, an awful lot of money was required for
additional programming of any existing software programs.
3. Is By The Numbers
a CRM?
A. No, By The Numbers is not a CRM, although it does contain
a very nice CRM. In fact, we would prefer to call it A+CRM, Analytics Plus
CRM. By The Numbers does what the
common CRM programs do and more. It allows you and your users to keep a pulse
on the minute-to-minute happenings within your business. What differs from most
other CRMs is that it offers the very necessary numbers and analytics you need
to manage your sales and marketing right “out-of-the-box” without extra
programming required.

4. How does By The
Numbers work? By The Numbers is hosted online and is accessible through the
internet. In other words, as long as you can connect to the internet, you can
connect to By The Numbers.
5. What if I want to
download By The Numbers on my own system?
By The Numbers is not sold as a downloadable software.
6. Why can’t I
download By The Numbers on my own system? A few reasons. First of all, as
long as you have an internet connection, your data is available to you at all
times and from anywhere. Second, all
upgrades and enhancements are automatic for you when we can load them online.
Third, if there is a problem it is easier for us to troubleshoot on our server
rather than trying to go through you or your IT to determine if the issue is a
software problem or a computer problem. Fourth, you will not need an IT
department to keep your system running. You keep your internet running, and
we’ll keep the software running.

7. What are some other benefits

lead and sales information

available from anywhere with a secure internet connection
- Eliminates repetitive data entry
- Multiple office locations are no problem, data can be viewed simultaneously
by several parties
- System upgrades are instantly available to you at no additional cost
- Remote training available at your convenience
- State-of-the-art technology at a small business price
Back to top>
8. Does By The Numbers offer an accounting module?
No, By The Numbers is focused on increasing the efficiency of your sales and
marketing. Since there are very good accounting programs available, it did not
make sense to re-create them. Rather we wanted to really focus on areas that are
really needed by most small businesses, areas that will allow (when properly
used) your accountants to keep counting the numbers in their own accounting
systems!
9. How does your system integrate with my current accounting software?
By The Numbers has the ability to export/import certain contact and financial
information to and from your accounting software through a CSV file.
10. Does By The
Numbers integrate with other systems?
As it is in the world of software, integration with many
systems is always on the horizon, and when we have enough requests for the same
integration coming from multiple companies, we go forward with the development.
At this point By The Numbers works well with Blackberry and Droid cell phones,
as well as the iPhone and other smart phones.
11. Can I do mass mailings / emails out of your system?
Yes. By The Numbers allows you to search, filter and select a contact list
that can be exported and used with your favorite word processing / emailing
program to mail merge.
12. Is it easy to customize your system to meet my business’ specific needs?
How much will it cost?
By The Numbers is somewhat flexible. All of the reports, lists, features, and
system settings are included in your monthly service fee. Individual programming is offered at
an hourly cost of development, but the necessary numbers and all existing
program features are yours upon start of the program.
13. If I am looking for specific functionality, will By The Numbers build
it?
All of the numbers that a company needs to be able to make critical decisions
regarding marketing expenditures and sales people are there. However, in the
event that your company needs other functionality, while By The Numbers can’t
commit to building all specific functionality requested by users, new
functionality is constantly being built based on the popular demand of current
users. Again, users have
the option of hiring By The Numbers on an hourly basis to develop
company-specific report templates.
14. How long does it take to get set up By
The Numbers?
That depends on
your company setup and data. If we are importing data that requires a lot of
cleaning, it can take several days or even a week. If your data has been
completely separated into Excel fields so that we can do a clean import, we
typically need only one day to set it up.
15. How long will it take my company to
learn the system?
Part of the beauty
of By The Numbers is its simplicity and ease of use. Depending on the
background of your people using the system, it could take as short as ½ hour or
as long as a couple hours. Most initial online training lasts about an hour.
16.
I don’t want all the users to see all the company data in By The
Numbers. How can we avoid that?
You have complete
control over the data your users can access . There are restrictions that you
can set so that certain users have access only to the information they need.
17. What if one of my users is fired or no
longer works for my company?
You have the
capabilities of going in the system and simply checking one box so that person
would no longer have any access to your system.
II. PRICING
18. How do you price your system?
Customers pay a modest one-time activation fee which covers database setup and
two sessions of online training with a By The Numbers system trainer. Thereafter,
users pay a monthly access fee which covers data backup, technical support and
all functionality upgrades. Fees are set according to number of
users/passwords. For further details on pricing, please contact By The Numbers
at info@getbythenumbers.com.

19. Why is By The Numbers so affordable compared to other small-business
software?
As a web-based application, By The Numbers eliminates most overhead costs
associated with the purchase of traditional shrink-wrapped software. While we
believe web-based systems are a superior technical solution, benefits are also
gained by hosting many customer applications at one location under the
management of a single dedicated and qualified technical team. You will no
longer having to absorb the expense of do-it-yourself server hosting,
third-party backup solutions, expensive on-site technical staff, and frequent
software upgrades. Use By The Numbers and you also enjoy the total-cost-of-savings
in the process.
